JOB PURPOSE

The Executive Assistant is an individual contributor role providing day-to-day support across a variety of administrative areas.

The Executive Assistant supports senior stakeholders in the respective area and executes tasks within established policies, procedures and guidelines. The incumbent’s tasks include, but are not limited to, coordinating schedules, planning meetings/events, and preparing materials.

 

  • As an Executive Assistant at Open Society-Africa, you will be responsible for:
    • Administration: Carry out significant aspects of administrative functions with limited supervision. Responsible for identifying issues and developing new or changed processes in response to changing circumstances.
    • Data Management: Perform ongoing data management functions with limited supervision (i.e., generating reports involving changes to data, operations involving some complex routines, developing reports from raw data).
    • Internal Communications: Interact with colleagues to obtain or to convey information and to advance issues or projects for which responsible and/or to support issues or projects for which colleagues are responsible.
    • Logistics/Arrangements: Conduct extensive research on potential sites and arrangements for multiple events and meetings, which may include large and/or complex events; assure that all details are managed from a logistical standpoint.
    • Materials Preparation: Generate a variety of materials from varied sources using both established templates/formats as well as creating new models based on understanding of the purpose of the materials; in accordance with general procedures and with some discretion in problem-solving; under limited supervision except in very novel or unusually complex circumstances.
    • Research and Recommendations: Conduct research on a specific area of work and make recommendations on how best to proceed.

EXPERIENCE
